MegatronLead is six tightly integrated systems sharing one canonical lead model: ingestion, lead lifecycle, access control, workflows, analytics, and audit. Each is documented below with the operational guarantees it provides.
Ingestion
Every channel into one normalized record.
Leads from every source you use, normalized into one canonical record per contact. Duplicates are reviewed, never silently merged. Failures are visible and replayable.
- Channels
- Meta, HubSpot, Salesforce, LinkedIn, Google Ads, Search Console, Bing, CSV, webhooks, and more.
- Deduplication
- Conservative matching on email, phone, and name plus company. Matches are flagged for human review.
- Forensics
- Original payloads retained so any record can be reconstructed if a source upstream changes.
- Reliability
- Upstream spikes do not overwhelm the platform. Failed ingestion lands in an inspectable queue that operators can replay.
- Market tagging
- Each lead is tagged with its market deterministically at ingestion. Records that cannot be tagged are quarantined for admin review.
Lead lifecycle
A canonical record. Full source history.
Every lead carries its market, owner, state, score, and a typed attribute map for source-specific data. Attribution is preserved through every merge.
- States
- New, contacted, qualified, proposal, negotiation, won. Plus unqualified, lost, on-hold, duplicate-of, archived.
- Ownership
- Assign, reassign, unassign. Every change is audited and visible on the lead.
- Notes
- Markdown notes with attachments and at-mentions. Edits create new versions for traceability.
- Activity
- Every change to a lead is captured with the actor, the timestamp, and the originating source.
- Multi-source
- A contact reached through Meta last month and HubSpot today is one record with both contributing sources preserved.
Access control
Territorial boundaries you can trust.
Every query is scoped to the user's market and team. A user cannot reach data outside their authority, even with a direct API call. UI filters narrow further; they never widen scope.
- Markets
- Global. India, the United States, the United Kingdom, Germany, France, Singapore, the UAE, and beyond. Admin-extensible per organization.
- Custom segments
- Continents, trade blocs, or arbitrary business segments. The vocabulary is not restricted to countries.
- Roles
- Sales rep, team lead, regional manager, regional administrator, global head, super administrator, auditor, service account.
- Delegated admin
- A regional administrator manages users and roles within their market only, never globally.
- Denial logging
- Every denied access attempt is recorded for review.
Workflows
Orchestrate across the lead lifecycle.
Assignment rules, escalation, notifications, SLA enforcement, and integration fan-out share one declarative model. Rules are versioned and replayable.
- Triggers
- Lead created, state changed, ownership changed, note added, SLA at risk, SLA breached, integration connected, integration failed.
- Routing
- Round-robin within teams, by market, by skill tag, or by current load.
- Actions
- Assign, reassign, set state, tag, send email, send Slack or Teams notification, fire webhook, wait until date.
- Versions
- Every edit creates a new version. Past runs show which version fired, so changes are never silently retroactive.
- Operator UI
- Inspect any run, edit the rule, replay individual executions.
Analytics
Executive dashboards scoped to authority.
One dashboard surface. Different data slices for different viewers. Numbers computed from the canonical lead store, not a downstream warehouse.
- KPIs
- Total leads, new (24h, 7d, 30d), conversion to each state, SLA in-breach count, average response time, top sources, top owners.
- Funnel
- Counts and conversion rates between every adjacent state pair, filterable by source, market, owner, and time window.
- Saved views
- Per-user filter persistence. Share with team or keep private.
- Scheduled reports
- Daily, weekly, or monthly. Email and PDF delivery, scoped by recipient.
- Exports
- CSV and Excel. Scoped to the user's authority. Every export audited.
Audit
Tamper-evident. Independently verifiable.
Every meaningful action is recorded in an append-only audit log. Your auditors verify integrity independently, without access to our systems.
- Coverage
- State changes, permission decisions, authentication events, admin actions, data exports.
- Integrity
- Each entry is cryptographically linked to the previous one. Tampering breaks the chain and is detected on verification.
- Export
- Download the audit trail for any date range in CSV or JSON. Standard compliance tools ingest it directly.
- Retention
- Seven years by default; configurable. Hard deletion requires multi-step approval and is itself audited.
